+ Position Overview

The Corporate Events Team is responsible for overseeing and organizing events in a way that will have a meaningful impact. The team is looking for a Corporate Events and Office Management Intern to join them during Summer 2019 with the possibility of extending through the academic year for local applicants. The intern will assist in all aspects of day-of logistics and needs for all events. This individual will personally contribute to creating an unforgettable guest experience and fulfill his/her role in the execution of successful events. The successful Corporate Events and Office Management Intern will be customer service focused and detail-oriented.

The Corporate Events and Office Management Intern will also assist across teams to ensure a smooth working environment for the entire office by handling logistical and administrative tasks. While this intern will be managed out of the Corporate Events office, the individual will be expected to work collaboratively across teams.

The Corporate Events and Office Management Intern reports directly to the Corporate Events Manager. This position will work 30-40 hours/week (4-5 days/week) May-August with the possibility of extending through the following academic year.

+ Key Responsibilities

  • Be available and present to support all needs during assigned events including but not limited to coordinating with catering to set out and remove food and beverages, moving chairs and tables to meet room setup needs, printing name badges and name tent, assisting with the guest check-in process
  • Carry out office-wide administrative tasks including but not limited to sorting and delivering mail, restocking employee kitchen supplies, monitoring and refilling office printers and copiers, assembling and mailing packages, assisting with internal meal orders
  • Ensure quality of initial guest encounters and address any guest needs in a cheerful, encouraging and professional manner
  • Possess a true desire to provide the highest level of service to external and internal clients
  • Effectively communicate with all members of the Corporate Events Team
  • Perform other duties and projects as assigned by the Corporate Events Manager
  • Fulfill all other requests as needed for each event as directed by the meeting owners

+ Position Requirements

  • Pursuing degree in Hospitality, Event Coordinating, Business, or related field preferred
  • 3.0 GPA on a 4.0 scale
  • Corporate events experience preferred, customer service experience required
  • Flexible schedule required
  • Strong attention to detail and high level of customer service
  • Excellent verbal, written, and face-to-face communication skills
  • Ability to learn and quickly adapt to new technology and computer software
  • True desire to provide the highest level of service to external and internal clients
  • Experience with room scheduling software (preferred but not required)
  • Familiarity with and ability to use Microsoft products including Word and Excel
  • Ability to stand on feet for several hours at a time, and lift and carry 40 pounds
